That includes full transaction categorization (revenue, expenses, assets), bank and credit card reconciliations, accounts payable and receivable management, and expense tracking with proper documentation. At the end of each month, you receive an income statement (profit and loss) and a balance sheet — two reports that give you a clear picture of what you earned, what you spent, and what your business is worth on paper.

We also flag unusual transactions or potential tax issues we notice along the way, so it's active oversight rather than passive data entry. For businesses in Quebec, we ensure your records meet both CRA and Revenu Québec requirements. If you use QuickBooks Online, Xero, Wave, or another cloud platform, we integrate directly into your existing workflow. And if you need catch-up work from previous months or years, we handle that too before onboarding you to regular monthly service.

We work primarily with QuickBooks Online, the most widely used cloud accounting platform for Canadian small businesses. It integrates directly with most Canadian banks for automated transaction feeds, which reduces manual data entry and the risk of errors. If you already use a different platform — Xero, Wave, FreshBooks, or another — let us know before we start. We adapt to your existing setup whenever possible to avoid a disruptive transition.

If you don't currently use any accounting software, we'll recommend the right platform for your business size and industry. For most sole proprietors and small incorporated businesses, QuickBooks Online's Essentials or Plus plan covers everything needed. The software subscription is a separate cost from our bookkeeping fee, and we help you get set up, connected to your bank accounts, and ready to go from day one.

Everything is handled securely online — no in-person visits, no paper files, no physical scanning required. You share documents through a secure client portal where you can upload bank statements, invoices, receipts, and any other records we need. Most clients also connect their bank and credit card accounts directly to the accounting software using a read-only bank feed, which imports transactions automatically and eliminates manual data entry.

For receipts, you can photograph them with your phone and upload them through the portal. The CRA accepts digital copies, so there is no need to keep physical paper as long as the image is legible and complete. We access your accounts with view-only permissions — we can see transactions but cannot initiate payments or move funds. Your data is encrypted in transit and at rest. If you ever have questions about what we can see or how your data is handled, we're happy to walk you through it.

You receive updated financial statements every month, typically within a few business days after the month closes. Your monthly package includes an income statement (profit and loss) and a balance sheet. These two reports give you a clear, current picture of how your business is performing: what you earned, what you spent, your gross and net margins, and what your business owes versus what it owns at any given date.

If you need quarterly summaries, year-to-date comparisons, or custom reports for a specific purpose — such as a bank loan application, a conversation with your accountant, or a review of profitability by product or service line — we can produce those on request. We explain the numbers in plain language so you always understand what you're looking at, without needing an accounting background to interpret the reports.
